Company Control
More and more companies with vehicles subject to driving and rest time regulations are being called in for company audits. The Danish Road Traffic Authority is calling in up to 4 times as many as just a few years ago.
It is therefore a very good idea to have control over your data storage, comply with driving and rest time regulations and have driver cards read and tachographs read in time.
The Danish Road Traffic Authority checks the following:
– Has all data been submitted on vehicles and drivers?
– Do the drivers comply with driving and rest time regulations?
– Is the company card logged into the tachographs?
– Are the tachograph and driver card operated correctly?
– For vehicles with discs: Are the tachograph charts filled in correctly?
– Is the vehicle list and driver list filled in comprehensively?
– Is there OUT driving and documentation for this?
– Have vehicles been bought/sold during the period and documentation for this?
Missing data can become a costly affair and can result in fines of DKK 6000 per day during the period for which you are called.
For example, if you are missing data on four cars, the calculation would look like this:
4 cars x 21 working days days days x 6000 kr. = 504,000 kr.
Violations of driving rest time regulations impose fines of DKK 100 per percent (over 5%) on the driver, and double that to the company.
If you have 2 violations of 14% and 23% respectively, the calculation will look like this:
14% x 100 kr. + 23% x 100 kr. = 3700 kr. to the driver.
14% x 200 kr. + 23% x 200 kr. = 7400 kr. for the company.
When you receive a summons in your e-box, the Danish Road Safety Agency asks for data for a period of one month within the last 12 months.
You typically get a deadline of 4 weeks.
In addition to data files from driver cards and tachographs, you must send:
- A driver list of all drivers who have driven the cars
- A vehicle list of all company cars subject to the driving rest period rules.
- Documentation for e.g. purchase/sale of a car. purchase/sale of a car.
- Documentation for OUT driving
If you have vehicles with chart sheets, original discs must also be shipped for the period.
